OVPD TRAINS UP MINDANAO BUILDING ADMINISTRATORS AND PERSONNEL IN FACILITIES MANAGEMENT

June 24–25, 2025 - the Office of the Vice President for Development and Planning – Facilities Management and Planning (OVPD-FMP), along with OVPDx (Digital Transformation) and Information Technology Development Center (ITDC) staff, visited UP Mindanao to launch the Guided Unified System for Asset-Linked Information (GUSALI) Portal, an electronic building information management system.

The orientation was led by Assistant Vice President for Facilities Management Joseph Gerard T. Reyes, who introduced participants to the core concepts and best practices in facilities management. Attendees included building administrators and personnel from UP Mindanao offices and units involved in infrastructure and campus services, such as campus planning and development, physical plant operations, supply and property management, information technology, research, the sports complex, the library, the dormitory, central administration, and the colleges

During the activity, UP Mindanao Vice-Chancellor for Administration Leo Manuel Estaña talked about his future proposal to create a Facilities Management Plan specifically tailored for the university. He explained that the plan aims to ensure a safe, healthy, and cost-efficient working environment through a 10–20-year life cycle strategy for all equipment and facilities. This approach would allow timely replacements—such as immediate provision of a new computer in case of failure—and help optimize resources despite limited funding. He emphasized that with limited resources, effective facilities management will play a vital role in the university’s continuous improvement efforts

The OVPD also introduced the Guided Unified System for Asset-Linked Information (GUSALI) Portal which was actually oriented to UP Mindanao building administrators a week before is an electronic building information management system developed by the Facilities Management Team and the Information Technology Development Center to modernize asset and facility monitoring and maintenance across the UP System.

The launch of the GUSALI Portal at UP Mindanao followed an initial orientation for building administrators held a week earlier. The system, developed by the Facilities Management Team and ITDC, is intended to enhance data-driven decision-making in campus operations by streamlining the monitoring and upkeep of facilities. In addition to the GUSALI launch, participants were introduced to UP Manila’s Room Occupancy Online Management System (ROOMS), which could be adapted for UP Mindanao to improve space utilization and scheduling.

The two-day event also included a Focus Group Discussion where participants identified pressing concerns and opportunities in facilities management, emphasizing the need for collaborative planning in the university’s ongoing campus development initiatives.
